Terms of Service
Last updated: May 25, 2026
The short version
DeskPilot provides an AI receptionist service for small businesses. By signing up, you agree to use it responsibly, pay your subscription, and trust us to handle your data per our Privacy Policy. You can cancel anytime.
The service
DeskPilot answers your business calls with an AI receptionist when you cannot pick up. The AI gathers the caller's contact information and reason for calling, then notifies you immediately so you can return the call. We provide a dashboard, a dedicated phone number, and the alert delivery (SMS and/or email).
Your account
You must be at least 18 years old and provide accurate information when signing up. You are responsible for keeping your login credentials safe and for activity that happens under your account. If you suspect unauthorized access, contact us immediately at support@deskpilot.app.
Acceptable use
You agree not to use DeskPilot to:
- Send unsolicited marketing, spam, or any communications that violate the TCPA, CAN-SPAM Act, or carrier rules.
- Engage in fraud, harassment, threats, or any unlawful activity.
- Impersonate another person or business.
- Attempt to disrupt, reverse-engineer, or gain unauthorized access to the service.
- Resell DeskPilot to other businesses without a written agreement.
We reserve the right to suspend or terminate accounts that violate these terms, with or without notice depending on severity.
Billing and cancellation
- DeskPilot is offered on a subscription basis. Pricing is shown on the Pricing page before you sign up.
- New accounts receive a 7-day free trial. We will not charge your card during the trial period. If you cancel before day 8, you pay nothing.
- After the trial, your subscription renews automatically each billing period until you cancel.
- You can cancel anytime from the Billing page in your dashboard. Cancellations take effect at the end of your current billing period; you keep access until then.
- When you cancel, your phone number is released back to our provider and you stop receiving alerts. We do not issue prorated refunds for partial billing periods.
Phone numbers and forwarding
We provision a phone number on your behalf when you sign up. You are responsible for configuring call forwarding from your existing business line if you want missed calls routed to the AI. Forwarding setup involves dialing a short code on your business phone — we provide the exact code in your dashboard. We do not guarantee that any specific carrier or feature will work the same way over time, since carrier behavior is outside our control.
AI conversations and accuracy
Our AI receptionist does its best to capture caller information accurately, but it is a software service and may occasionally misunderstand or misrecord what callers say. DeskPilot is a tool to help you catch leads — it is not a substitute for direct human contact when one is required (for example, in emergency or safety-critical situations). Always confirm details with the caller when you return the call.
Service availability
We aim for high uptime, but the service depends on third-party providers (Twilio, Vapi, Supabase, Stripe, Resend) and the internet at large. We do not guarantee uninterrupted service. We will not be liable for missed calls or alerts caused by outages, carrier issues, or events outside our reasonable control.
Limitation of liability
To the maximum extent permitted by law, DeskPilot and its operator are not liable for indirect, incidental, special, consequential, or punitive damages, or for any loss of profits or revenues, whether incurred directly or indirectly, or for any loss of data, use, goodwill, or other intangible losses, resulting from your use of the service.
Our total liability for any claim related to the service will not exceed the total amount you paid us in the twelve months preceding the claim.
Changes to the service or terms
We may update the service, pricing, or these terms over time. For material changes (especially pricing), we will give you reasonable notice by email before the change takes effect. The latest version of these terms is always available at this URL, and we will update the "Last updated" date when we revise them.
Governing law
These terms are governed by the laws of the United States and the state where the operator resides, without regard to conflict of law principles. Any dispute will be resolved in the courts of that state.
