Who we are

DeskPilot is an AI receptionist service for small service businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have. If anything here is unclear, email us at support@deskpilot.app and we will answer in plain English.

Information we collect

When you create a DeskPilot account, we collect:

  • Account information — your name, business name, email address, and cell phone number.
  • Business profile — your industry, service area, business phone number, and the questions you want our AI to ask callers.
  • Call data — for each call your AI receptionist handles, we store the caller's phone number, any details they provided (name, reason for the call, urgency, callback time), and a transcript and summary of the conversation.
  • Billing information — handled by our payment processor (Stripe). We do not store full credit card numbers on our own servers.

How we use your information

  • To operate the AI receptionist and route calls to your business.
  • To send you the operational SMS and email alerts you opted in to receive (see below).
  • To show you a dashboard of your calls, leads, and account activity.
  • To bill you for the service.
  • To respond when you contact us for support.

We do not sell your information. We do not use call data or contact information for advertising. We do not share your information with anyone except the service providers described below, and only as needed to run the product.

SMS messages (text alerts)

If you opt in to SMS notifications, DeskPilot will text you operational alerts when your AI receptionist captures a call. These are transactional messages — never marketing or promotional content.

How you opt in: during the 5-step onboarding wizard, you enter your personal cell phone number into a labeled input field and click Save / Continue. You can also enable, change, or disable SMS notifications at any time from the Receptionist Settings page in your dashboard.

How you opt out: reply STOP to any DeskPilot text message to unsubscribe immediately. You can also switch your notification method to "Email me" or disable notifications entirely from your dashboard. Standard message and data rates may apply from your carrier.

Mobile information sharing: we do not share or sell your mobile phone number or any SMS opt-in data with third parties or affiliates for marketing or promotional purposes. Phone numbers are used solely to deliver the alerts you signed up for.

Service providers we use

We rely on a small number of vendors to operate DeskPilot. Each one only receives the specific data they need to do their job:

  • Supabase — hosts our database and handles user authentication.
  • Twilio — provides phone numbers and delivers SMS messages.
  • Vapi — powers the AI voice agent that talks to callers.
  • Stripe — processes subscription billing.
  • Resend — delivers transactional email alerts.
  • OpenAI — used to generate the optional "About your business" description during onboarding (if you click the AI button).

These vendors are bound by their own privacy commitments. We do not authorize them to use your data for any purpose other than serving DeskPilot.

How long we keep your data

We retain account and call data for as long as you have an active DeskPilot account. If you cancel and delete your account, we permanently remove your business data within 30 days, except where we are required to keep certain records (for example, billing records for tax purposes).

Your rights and choices

  • Access and update. You can view and edit most of your information directly from your dashboard.
  • Delete your account. Use the "Delete account" option in your Profile settings. This permanently removes your data on the timeline above.
  • Stop receiving messages. Reply STOP to any text, or change your notification preferences in the dashboard.
  • Reach out. Email support@deskpilot.app with any privacy-related request and we will respond within a reasonable time.

Children's privacy

DeskPilot is intended for business owners aged 18 or older. We do not knowingly collect personal information from anyone under 18.

Changes to this policy

If we make material changes to this Privacy Policy, we will update the "Last updated" date at the top of this page and, for significant changes, notify you by email. The latest version is always available at this URL.
